The University’s Central Administration for Cultural Relations wishes to inform faculty members and their assistant staff that, when organizing, attending, or participating in conferences, whether domestic or international, all required information and supporting documents must be submitted to the Cultural Relations Officer at the respective faculty at least three weeks prior to the conference date.
This will allow the University’s Conference Department sufficient time to process and approve the relevant decision and obtain the required security clearances.
For destinations where a security clearance is required prior to travel, the relevant security inquiry forms must be submitted at least four months in advance.
The General Administration for Scientific and Cultural Relations announces that, effective January 2025, faculty members and members of the assistant staff applying for secondments, study leave, conference attendance, or other related activities must use the forms prescribed by the Administration. Applications submitted without the required forms will not be accepted.

-Passport copies of foreign participants (required for security clearance procedures and the completion of three security vetting forms per person).
-Three security vetting forms and three personal photographs for participating faculty members from the Faculty of Medicine, Aswan University (required for security clearance for those attending conferences abroad).
Note:
Heads of Departments are requested to submit the conference recommendations following the conclusion of the event.

-Copies of the passports of all overseas conference attendees who will be conducting an opinion survey.
-To obtain safety approval for attendance at external conferences, the Faculty of Medicine at Aswan University requires (3) opinion poll forms and (3) personal images of faculty members.
Note:
After the conference’s activities are complete, the department heads are asked to give the conference’s suggestions.
At its 168th session, held on June 29, 2026, the Aswan University Council approved an amendment to University Council Resolution No. 116, issued on February 28, 2022, concerning the requirements for faculty members holding PhD degrees to remain in service at the University prior to traveling on a scientific mission.
The amendment aims to facilitate travel procedures for scientific missions by establishing the following minimum periods of service prior to travel:
– PhD holders from foreign universities: A minimum of one year of service following appointment as a Lecturer is required before traveling on a scientific mission.
– PhD holders from Egyptian universities: A minimum of six months of service following appointment as a Lecturer is required before traveling on a scientific mission.
