Administrative Structure

The graduate studies sector is organized as follows:

Director of the Graduate Studies and Research Department, officials of “graduates and examinations – diploma and masters – Ph.D. – cultural relations.”

Description of job duties for each of them:

Tasks of the position:

1- Overseeing all management tasks and monitoring the management team’s performance in the following areas:

setting monthly agendas and carrying out committee decisions on graduate studies, research, and cultural relations.
putting into practice the decisions made by the College Council and analyzing documents produced by, received from, and issued by the institution on pertinent topics.
monitoring the development of entry and updating in the information system for graduate studies and research affairs.
Supervising the implementation of the examination schedule and the examination committee.
implementation of the Vice Dean for Postgraduate Affairs’ tasks and his evaluation of any changes to the administrative workflow.
2- Assigning and reviewing the works with the Deputy Director (Liaison and Follow-up Officer).

3- Making a recommendation to the Director of Financial Affairs to evaluate the validity of any planned or implemented financial procedures.

4- The deputy director might be tasked with attending meetings at the institution or university to represent the administration. The administration director has the authority to assign any tasks to his staff members that are not part of their regular duties.

5-Taking part in the graduation ceremony’s planning.

6-Review each management project.

7- In the absence of the department’s director, the deputy director oversees all work being done in the division and ensures that it is being done in accordance with the director’s job description.

8- The person in charge of coordinating interactions between the administration’s work and that of other supporting divisions, ensuring that transactions are seamless and tasks are completed quickly.

9- Complying with all rules and directives pertaining to the Department of Postgraduate Studies, Research, and Cultural Relations

10- A consumer survey for the administration.

Job responsibilities:

Examine graduation certificates as well as official departmental statements.

Issuing diplomas, master’s degrees, and doctorates.

Writing graduate patents

Compiling annual statistics on Central University’s graduating graduate students

Public Mobilization and Statistics Agency

Creating a list of students who will be allowed to take the exam.

Examiner lists, observer lists, and assignments are being prepared.

Making exam schedules for postgraduate students.

Examine your graduation certificates.

Payment vouchers for student certificate fees are being prepared.

All regulations and instructions received by the administration must be followed.

Issuing diplomas, master’s degrees, and doctorates.

Job responsibilities:

-Receiving letters from the department regarding the enrollment of diploma and master’s students.

-After department approval, complete the registration files for diploma and master students.

-Creating registration and registration memorandums, revising supervision, and specifying letter addresses

-Forms for rewarding letters, supervision, and discussion should be reviewed.

-Following up with students who have not paid their tuition.

-Examining the files of newcomers and students enrolled in diploma and master’s programs.

-Notes for the College Council, the Studies Committee, and the University Council are being prepared.

-Performing any other tasks delegated to him by the department manager.

-Receiving letters from the department regarding the enrollment of diploma and master’s students.

Job responsibilities:

-Academic staff can exchange information, programs, and systems.

-Providing opportunities for faculty and support staff to obtain scholarships and conduct research.

-Mission plan execution, joint supervision, and scientific missions such as nomination and travel procedures

-Procedures for inviting foreign professors and visitors are being implemented.

-Participating in the planning of college conferences, seminars, and training courses.

-Creating studies and data for the administration, the director of college administration, and the dean of the college.

-Receiving, directing, and carrying out all correspondence pertaining to cultural relations.

-Implementation of the relevant College Council decision.

-Preparing and sending correspondence from supporting body members to the university, the Ministry of Higher Education and Missions, and security agencies.

-Following-up mission to obtain academic degrees in another country.

-Carrying out any other tasks assigned to him by the Department Head.

-Organizing and managing cultural and scientific relations between university faculties and institutes and other universities and scientific research centers in ministries, and local and international bodies.

-Developing cultural and scientific relationships with local and international authorities through agreements, conferences, training courses, and workshops.
